What an Examination Letter Should Spell Out Before Fieldwork Begins
A clear engagement letter protects both the company and the examiner when statutory accounts are under review.
Before any ledger is opened, the examination letter should name the reporting entity, the period covered, and the exact form of report the board expects. Ambiguity here is what later becomes a disputed management letter.
Fee arrangements belong in the same document: retainer, hourly rates for unexpected locations, and who pays for third-party confirmations. Companies in Kanagawa often underestimate confirmation postage and bank response delays.
Access rights matter. If the warehouse is shared with a sister company, the letter should state who escorts the examiner and how inventory count sheets are shared. Without that clause, cut-off testing stalls on the first morning.
Finally, include a timetable with draft-report and closing dates. Peak filing season compresses calendars; putting dates in writing keeps finance teams from discovering conflicts only after fieldwork starts.
