Refunds, Retainers & Rescheduling
These terms apply to professional fees and retainers for examinations offered by Seabound Accounts Examination. They do not cover goods retail or software subscriptions, which we do not sell.
Refund eligibility
Retainers are refundable in full if we decline the engagement after intake, or if you cancel in writing before we begin planning work and before any document review starts. Once planning or fieldwork has begun, refunds are partial or unavailable depending on work completed.
Timeframe to request
Submit refund requests within fourteen days of the event giving rise to the claim (for example, our written decline, or your cancellation notice), using hello@flowmanagementsystem.digital.
Full or partial refunds
Full refund of unused retainer: engagement declined by us, or client cancellation before planning starts. Partial refund: cancellation after planning begins but before fieldwork; we deduct documented time for intake, independence checks, and request-list preparation. No refund of fees for fieldwork days already performed, draft reports issued, or confirmation costs already incurred.
Non-refundable items
Third-party confirmation fees already paid, travel costs for confirmed observation days after forty-eight hours’ notice, and time spent after draft findings are delivered are non-refundable.
Process
Email hello@flowmanagementsystem.digital with the engagement reference, reason, and preferred contact. We confirm receipt within two business days and state the refund calculation.
Processing time and method
Approved refunds are returned within twenty-one business days by the original payment method when possible, or by bank transfer to the account that paid the retainer.
Cancellation and rescheduling
Reschedule inventory observation with at least five business days’ notice when warehouses allow. Late cancellations of booked observation days may incur the day rate. Peak season (January–March) reschedules depend on examiner availability and may move the report date.
Deposits and no-shows
The engagement retainer functions as the deposit. If client staff fail to attend a confirmed observation or planning meeting without notice, that day’s allocated fee may be charged and is not refundable.
Work already started
When substantive testing or document review has started, fees reflect time incurred. We provide a summary of hours before calculating any residual retainer return.
Purchased materials
We do not sell physical product kits. Any third-party courier or confirmation charges advanced on your behalf are billed at cost and are non-refundable once spent.
Exceptions
If illness or force majeure prevents our attendance on a booked observation day, we reschedule without charging an extra day rate. Statutory deadlines remain your responsibility to manage with lenders and registries.
